Your Privacy & Digital Security

Your Story is Sacred. We Keep It Human.

In an age where algorithms are everywhere, we believe therapy must remain deeply human.

At Pacific Pines Counseling, we are committed to a strict Zero AI Policy. We do not use Artificial Intelligence tools to write your clinical notes, progress reports, or session summaries. Furthermore, we do not allow AI transcription or recording tools are allowed, by clients or clinicians.

Every word in your file is written by licensed mental health professionals who know you, your history, and the nuances of your unique story. Your data never enters an AI training model; it remains strictly within our secure, encrypted ecosystem.

Fortress-Level Digital Security

We utilize modern, encrypted platforms like SimplePractice, which are rigorously audited to meet strict HIPAA standards for data security and confidentiality.

  • Our explicit protocols ensure your sensitive information never leaves our secure processing environment.

  • We have implemented firewalls against data scraping, ensuring your PHI (Protected Health Information) is never used to train public or private language models.

  • All virtual sessions and client portal communications are end-to-end encrypted.

Autonomy Through Private-Pay Care

We operate on a private-pay model to prioritize your autonomy. While insurance billing is valid for many, choosing private pay offers three distinct advantages for those who value maximum privacy:

Control Over Your Diagnostic Record

Insurance billing requires assigning a diagnosis (e.g., Depression, Anxiety) that becomes part of your permanent medical history and is shared with insurers. As a private-pay client, we do not assign diagnoses unless clinically necessary for treatment planning—and only with your explicit agreement. You have the final say on what goes into your record.

Treatment Based on Clinical Need, Not Limits

We design treatment plans based solely on your unique goals, free from insurance "medical necessity" rules or arbitrary session caps (e.g., limits of 10 visits per year). Your care is driven by progress, not a payer's policy.

Enhanced Privacy & Anonymity

Your records are invisible to insurance companies, third-party administrators, and external auditors. They remain strictly within our practice. While this does not exempt us from legal obligations (such as mandatory reporting for abuse or court orders), it significantly reduces the risk of administrative exposure of your sensitive information.

Secure Care, Wherever You Are

Privacy includes the ability to access mental health care in the way that feels safest for you:

A woman with curly hair wearing a blue shirt sitting at a table with a laptop, holding a portable external hard drive connected to the laptop.
Virtual (WA State)

Flexible, secure video sessions from your home or office or safely parked car. We ensure our virtual platforms are as encrypted and private as our in-person rooms.

A street view with parked cars, old buildings, and a theater marquee sign that says "RIALTO" visible against a bright sky. Probably in an urban area.
In-Person (Tacoma, WA)

Our group sessions are hosted by Urban Grace, in downtown Tacoma and provide spaces that facilitate focus and calm sharing with fellow group members. (Coming Soon!)

Whether you prefer the comfort of a face-to-face connection or the flexibility of modern convenience, we’re proud to offer high-quality care accessible wherever you are in our beautiful state.

Your Rights as a Client

Your time with us is private and we respect your privacy. Under state and federal laws (HIPAA), your identity, the fact that you are a patient here, and everything discussed in our sessions remains strictly confidential. We will never disclose this information without your explicit written consent, except in specific legal circumstances where safety is at risk (e.g., imminent harm to self or others, or abuse of vulnerable populations). As our client, you retain the right to review your records, request amendments, or revoke consent for sharing information with other providers.

Note: In rare circumstances involving imminent harm to self or others, or suspected abuse of vulnerable populations, we are legally required to report this to authorities to ensure safety.
